As a 60-year-old company, Eng Hup Shipping was used to manual processes and reactive maintenance. Now, we are leveraging technology to digitalise and automate our processes so that we can boost efficiency, stay resilient and be future-ready.

In this Channel News Asia (CNA) documentary commissioned by Maritime Port Authority of Singapore (MPA), we shared about our digitalisation journey alongside three other inspiring counterparts from the maritime industry.

Meeting with Eng Hup Shipping’s Digital Core Team

Eng Hup Shipping approached its digital transformation process in small but practical steps. From online vessel booking to mobile scanning and digital generation of passenger manifests, the company has reduced manually intensive and error-prone processes and successfully achieved improved productivity levels and better customer experience.

Established in 1986, the Total Defence Awards (TDA) aim to recognise employers and Civil Resource Owners who have demonstrated exemplary support and advocacy for National Service (NS) and Total Defence (TD).

As a local maritime company, Eng Hup Shipping’s growth hinges on the Singapore’s status as one of the world’s busiest ports, as well as her security and stability. The company has always been supportive of programmes that strengthen the nation’s defence.

From passenger ferries like the Tekong ferry, to launches, utility vessels and tugs, Tommy Phun, Director (Business Development) from Eng Hup Shipping shares what the different vessels in Singapore are used for, and his role in the maritime industry – an industry that transports more than 80% of global trade.

Since January, the escalating COVID-19 outbreak has had significant disruptive impact for businesses and individuals. While some sectors of Maritime Singapore have been holding up so far, some segments (e.g. harbour craft) have been more adversely affected because of the enhanced social distancing measures.

The role of CHROs has never been more important as CHROs are now charged with the responsibility to make difficult decisions that would affect the livelihoods of their employees and the broader community that the company serves. Some of these decisions include: ensuring public health while keeping business afloat, changing benefits and compensation policies (temporary or permanent), looking after mental well-being, procuring and implementing remote working tools across the entire company, furloughs and retrenchments.

In this webinar hosted by Maritime Port Authority (MPA), Eng Hup Shipping is proud to be invited as one of the panel speakers, sharing our experience in managing the challenges posed by the pandemic.

When COVID-19 was first announced a couple of months ago, our team came together to formulate strategies to navigate through the outbreak, and we came up with a 3R approach – Ready, Responsive and Resilient.

Ready

Firstly, being Ready. This meant taking on the mindset that it is not a matter of ‘if’ but ‘when’ the crisis will hit us. We need to position ourselves to be ever-ready to manage any issues which might arise. Coming up with a COVID Business Continuity Plan (BCP) was then all very new to us. We realised the importance of communication, to ensure that everyone in the company is constantly being updated and is fully aware of their roles and responsibilities in ensuring proper execution of the BCP. Besides the basic measures of masks, sanitisers and safe distancing markers, we also came up with drills and conducted dry-runs in our shipyard and vessels in the event that any of our employees were to be diagnosed with COVID-19.

Responsive

Secondly, being Responsive. The situation is rapidly evolving, and we need to be able to react quickly to any change. In fact, we have reached the 9th revised version of our BCP and are still constantly adapting along the way. Recalling the Malaysia lock-down announcement, we had less than a day to arrange for return trips for our Malaysian employees and find accommodation for them in Singapore. Right down to the last minute before midnight, our team was anxiously waiting to ensure all our Malaysian colleagues made it across the causeway. When the outbreak first began, our team made the decision to shift our workers out of the dormitories as a precautionary measure which helped us to sustain our operations.

Resilient

Thirdly, being Resilient. We took the opportunity to re-group and strengthen. At this moment, our vessels are back at base due to various project suspension. Instead of passively waiting for projects to resume, we’re leveraging this down-time to maintain, upgrade our vessels and upskill our crew so that we are poised for a strong recovery once the situation recovers.

“This pandemic is going to be a long-haul battle and many of the measures that we have implemented will stay at least for the near future. What is important is to keep a positive attitude to overcome challenges along the way.”

A key takeaway for our team is to not focus on what we have lost but to instead focus on what we have gained. This experience has been painful for many but just by shifting our perspective, we are able to see the situation in a better light.

For Eng Hup Shipping, this meant making use of the down-time to ready our fleet and to identify new growth opportunities. It is very heartening to see how employees standby the company during this period. This experience has taught us the value of being resilient, and we believe Eng Hup Shipping will be equipped and ready to take on other adversities that may come.

After the economic downtown five years ago affecting the local oil and gas industry, Eng Hup Shipping decided to embark on its digital transformation journey to drive up its profitability and productivity.

The company is honoured to be interviewed by local newspaper, Lianhe Zaobao, on the challenges of our digitalisation journey and how we overcame them.

“We believe it is imperative to improve efficiency through transformation. Even if we can’t increase profits, we must be able to maintain them,” said Tommy Phun, Director (Business Development) of Eng Hup Shipping.

However, digitalisation does not happen overnight, especially for a 60-year-old company that has been heavily reliant on manual processes. The management team chose to tackle the low hanging fruits first, focusing on simple operational processes that can be quickly digitalised to reap efficiencies.

One of the first successful projects was the online vessel booking system that allowed clients to arrange for vessel chartering digitally instead of contacting our sales team. Not only did this reduce manpower costs by at least 10%, clients now enjoy a better and more efficient experience.

Understanding that digital transformation is a journey and not a sprint, Eng Hup Shipping is constantly reviewing other process that can be optimised via technology. The team believes that continuous innovation and digitalisation will open up new revenue sources and business opportunities.

As one of the panel speakers, we had the opportunity to share our personal journey on the path towards digitalisation and workplace transformation.

In face of a weakening economic climate and low charter rates, Eng Hup Shipping embarked on digitalisation as a pathway to long term growth and sustainable profitability. The team had a grand vision of achieving a high technology console to oversee and manage all of their 70 vessels. However, this was met with multiple setbacks.

Despite the initial challenges, Eng Hup Shipping regrouped and took on a different approach – to identify the company’s pain points and target them one step at a time by digitalising simple manual processes that were affecting productivity. With this mindset shift, the team started seeing tangible benefits such as increased efficiencies and reduced manpower costs.

“You need to have a realistic expectation of what digitalisation and transformation can bring, it is not a magic wand, it is a long process.”

Tommy Phun, Director (Business Development) of Eng Hup Shipping noted that the shipping industry is facing intense pressure to reevaluate the ways business is conducted as customers become more digitally sophisticated and expectations of transparency and efficiency rise.

Amidst these challenges, the Eng Hup Shipping team recognised that digitalisation is a necessity to ensure that the company stays relevant today and tomorrow.

“We embarked on our digital transformation plan two years back. After a detailed analysis of current processes, we uncovered opportunities that technology can step in to help eliminate inefficiencies and drive productivity.”

Many SMEs are deterred by the high costs of investment in adopting new technologies, however, Eng Hup Shipping chose to focus on a longer term perspective of improved revenues and greater cost savings.

“There are initial costs to develop digital solutions and teething issues to manage after launching the systems. However, today we have gained the benefits in terms of efficiency and productivity. Enterprise Singapore has also been very supportive in aiding us through this process.”

Understanding that successful digital transformation cannot be a top-down approach, Eng Hup Shipping ensured that all employees from operational staff to vessel crew are on board by holding regular briefing sessions.

Cultivating the digital-first mindset in them also trains them to find opportunities in their work processes that technology can help to enhance.”

PIANC Biennial Technical Visit

PIANC Biennial Technical Visit

At the inaugural meeting in 2006, the Young Professional Commission (YP-Com) set out to organise a technical visit to a unique project every two years targeted at professionals in the maritime and waterfront infrastructure ecosystems around the world.

Since then, the Biennial Technical Visit (BTV) has been the most important and prestigious event on the YP-Com calendar. Past BTV’s include tours to the Venice Locks (Italy), Danube River Integration System (Austria), Maasvlakte 2 (The Netherlands), Panama Locks (Panama), Port of Ghent (Belgium), Great Barrier Reef and several port developments in Sydney and Cairns (Australia).

Held in Singapore from 10th to 13th June 2019, the 7th BTV hosted over 80 international delegates from the maritime industry. This year’s BTV is themed ‘Innovations in Maritime Infrastructure’ which highlights the importance of Ports and innovation in the national development of our nation.

Republic of Singapore Navy Visit

Republic of Singapore Navy Visit

Eng Hup Shipping is honoured to be invited by the Republic of Singapore Navy to organise a Safety Day event for 100 navy personnel consisting of both regulars and NSFs.

The event consisted of three segments:

  1. Case study sharing session: Referencing case studies of incidents that happened at sea over the past few years, we prepared a discussion session to analyse the safety gaps and identify solutions to mitigate them.
  2. Safety Equipment Exhibition: We showcased and explained all the safety equipment on board to create a hands-on experience for participants.
  3. Fire-fighting Drill: Participants also had the chance to go on board one of our tugs and witness a fire-fighting drill conducted by our crew in full PPE and gear.

At the end of Safety Day, Eng Hup Shipping was presented with a small token of appreciation by the Navy. We are grateful for the successful event and will continue to welcome future cross exchanges between Eng Hup Shipping and the active Navy units.
